Uploading student papers

After the draft and page regions are ready, the next step is uploading student papers. Notla offers two methods: uploading PDFs directly on the web, or automatically transferring papers scanned with the Notla Scanner mobile app. Each uploaded paper is matched to a student by reading the identity region on the page.


Manage Uploads

When you open the Manage Uploads step in the left menu, you see a two-tab screen:

  • Students — shows assignment/exam status row by row for every student enrolled in the course.
  • Scans — lists raw PDF/JPG scans uploaded to the system and their matching status.

The Upload Scans button in the top right is available from both tabs and lets you upload a new scan.


Students tab

The Students tab shows submission status for every student assigned to the homework/exam. If no papers have been uploaded yet, each row shows 'No submission' with an orange warning icon next to the name.

  • The search box filters by student name or number; useful for reaching someone quickly in large classes.
  • The orange warning icon means that student has not had a paper uploaded yet.
  • Clicking a row opens a preview of that student's paper; if there is no submission yet, the preview waits for an upload.
  • Pagination at the bottom of the page makes it easier to move through large classes.

Matched submissions

After a scan is uploaded and processed, each page is added to the matching student row by automatically reading the identity region. Successful matching is visible in the name column as a thumbnail of the read name, such as 'Mehmet Yılmaz - 3847294'.

  • Matched students show submission and created dates on the right.
  • Remaining students stay in the "No submission" state; when those papers are uploaded later, they drop onto the correct row automatically.
  • If a paper was matched to the wrong student, open the submission and use *Change student* to correct it.

Scans tab — empty

The Scans tab shows the raw list of files you uploaded. If no scan has been uploaded yet, the message 'No scans.' appears.

  • This tab shows which file a scan came from and which user uploaded it.
  • The Upload Scans button opens a new PDF upload dialog.

Scans tab — completed scan

When a scan finishes processing, a 'Completed' badge appears on the right of the row. Opening the details shows how many pages matched successfully, how many still need matching, and whether there are any unassigned booklets or loose pages.

A completed scan — statistics and matching summary
  • Successful: pages whose identity was read and matched to a student.
  • Matching required: pages waiting for manual matching because the identity could not be read.
  • Failed pages: pages that could not be matched because scan quality was too low or the identity region was not found.
  • Unassigned booklet / loose page: booklets or single pages whose student could not be determined; you can assign these to the correct student manually.
  • Delete Scan removes the file and all of its pages from the system.

Uploading PDFs on the web

The Upload Scans button opens a dialog where you can drag and drop PDF files from your computer. The limit is 100 MB. The bottom-left corner of the same dialog also includes the Notla Scanner mobile app option.

  • The green notice at the top of the dialog confirms that page regions are complete; uploading papers without this notice may not produce useful results.
  • Choose File picks a file from disk; drag-and-drop is also supported.
  • The Use Notla Scanner app button at the bottom left switches to the mobile scanning flow.

After a PDF is selected

When one or more PDF files are added, a 'Files' section appears at the bottom of the dialog and each file is listed with a delete icon. The 'Submit' button becomes active.

  • To upload several files at once, drag and drop them one after another; all of them are sent in a single *Submit* action.
  • Remove a file added by mistake with the red × icon on the right.
  • Submit starts the upload; the dialog then closes and the file appears on the Scans tab as processing.

Uploading with Notla Scanner

To scan with your phone, press 'Use Notla Scanner app' in the upload dialog. The screen that opens summarizes two short steps: open the app, then select the assignment and scan the pages. As soon as scanning is done, return to the 'Upload complete?' button.

  • Open the Notla Scanner app on your phone and sign in with the same account. The app automatically lists active assignments/exams.
  • Select the assignment/exam in the app, scan the papers in order, and press *Submit*. Scans are processed in the cloud and appear automatically in the web interface.
  • When you press Upload complete? on the web, the dialog closes and the Scans tab refreshes.

Processing statuses

An uploaded scan first appears as 'Pending completion'; in the background each page goes through OCR and matching. After processing finishes, the status becomes 'Completed'.

  • The Some scans are processing. warning reminds you that pages are not yet visible on the Students tab.
  • Processing time depends on page count and scan quality; it is usually a few minutes.
  • When the Completed badge appears, you can open the scan details and resolve any matching issues.

Unmatched pages

Pages whose identity region could not be read are listed under "Unassigned booklet" or "Unassigned loose page". You can open these pages and assign them to the correct student manually.
